SASTRA - B.Tech Counselling Instructions & Schedule

 Applicant Instructions

1. All candidates can check their rank by entering the application number.

2. Candidates who have misplaced their application number can find out their ranks by using DOB. Enter your date of birth (DD/MM/YYYY format) and know your rank. Alternatively candidates can also enter their name as given in the application form. Kindly note down the application number for future reference.

3. For candidates who have submitted their application online, the application numbers have already been sent. For those who have not received their application number, the rank can be found out by using your DOB. Enter your date of birth (DD/MM/YYYY format) and know your ranks. Alternatively candidates can also enter their name as given in the application form. Kindly note down the application number for future reference.

4. Separate lists arranged as per aggregate marks are also provided to run a name search and know the ranks.

5. Any discrepancies in marks should be brought to our attention within 48 hours. You may send the details by e-mail to Please note that only discrepancies in marks may be sent to this e-mail. Avoid making any other requests to this e-mail.

6. In an event of any change in marks due to revaluation, candidates are advised to fax their new mark list immediately to 04362 264120 before the counselling date. The new rank will be posted in the website and candidates are advised to attend counselling as per their new ranks.

 General instructions for counselling  

  • The counselling for admission to the B.Tech. programmes at SASTRA Campus in Thanjavur will be held at SASTRA campus in Thanjavur on June 14, 15, 16 17 & 18, 2008. Counselling letters are being dispatched to the candidates called for counselling. In the event of any postal delay, the candidates may attend the counselling on the day and time which may be found out from the counselling schedule given.
  • In case of any vacancies, the II round of counseling will be held on June 21, 2008. The details for this will be available at at 8:00p.m. on June 18, 2008. 
  • Admission will be based on the rank secured by the applicant which is calculated based on the aggregate marks scored in the qualifying +2 examination following the process of normalization. Admission will be made only against availability of seats based on the ranks secured. Of the total seats available 60% has been allotted under the open category to be filled on an All India Basis. This is called the All India Stream (AIS). The remaining 40% of the seats is allotted to students who have completed 10th and +2 from Schools in Tamilnadu. This is called the Tamilnadu Stream (TNS). 10% of the total seats (AIS + TNS) is allotted to students who have completed 10th and +2 from schools in Thanjavur and Trichy districts. This is called the Trichy Thanjavur Stream (TTS).
  • Candidates are called for counseling for the first four days (June 14-17, 2008) based on the All India Ranks. This shall also include students who may be eligible for TNS/TTS (such students may have very good AIR).
  •  Candidates who are eligible under TNS stream are allotted TN Rank in addition to All India Ranks. After the first four days of counseling, students under the TNS will be called for counseling on June 18, 2008 for seats allotted under the TNS category. These students will be admitted against vacancies under the TNS during their time of counseling. Please note that eligible TNS students with better ranks will also be called during the first four days and can secure admission during the first four days of counseling if the seats under AIS are exhausted. Please note that TNS students who fall under the AIS by virtue of having a good rank will be admitted under the AIS category only.

If candidate X (eligible under TNS category also) opts for a particular branch of engineering during admissions, he/she will be admitted under the AIS category without reducing the seat availability in the TNS category. If candidate X chooses the last available seat in the AIS category, then candidate Y will still get a chance of securing admission in the same branch by virtue of being eligible under the TNS category.

Students under TTS will also be called for counseling during June 18, 2008 and admission will be subject to availability of seats and only after exhausting the seats under the AIS and TNS. Earlier illustration holds good in this case also. All TTS students with an aggregate of more than 85% are eligible to attend counseling on June 18, 2008. Such students must report at 9:00a.m. on June 18, 2008.

The Admission’s office has published the rank list based on information in the application form received. It is the applicant’s responsibility to ensure that they are eligible for TNS / TTS. If the applicant is found ineligible during the counseling session, the application will be considered invalid for TNS/TTS.

  • Candidate’s presence during the time of counselling is compulsory. If due to any unavoidable circumstances, the candidate is not able to attend; either the father or the mother with proper documents will have to attend the counselling. A candidate or his parent will have to report 30 minutes before the start of the counseling session. Late comers will be allowed only during the next batch and can seek admission only for the branches available during that time. Any candidate who misses the entire day cannot appear for any of the subsequent counseling sessions.
  • The candidates are informed that they should have enough copies of the original mark sheets, transfer certificate, conduct certificate, migration certificate and other documents before they submit the original during the time of counselling.
  • If any candidate has secured admission in a different institution & is unable to produce original documents, he/she is expected to bring a copy of the admission letter, acknowledgement from the institution for receiving documents and fee receipt.

IIn the event of being admitted to a particular branch, the candidate must pay the following fees in the form of Demand Draft, favoring SASTRA, payable at Thanjavur.

 Fee Details:

      1) Tuition fees                      Rs.30,000/- (per semester)

      2) Development fees           Rs.10,000/- (one time payment at the time of admission)

      3) Miscellaneous                 Rs. 7,000/- (one time payment at the time of admission)

           Total                                 Rs. 47, 000/-

           A single Demand Draft for Rs. 47, 000/- may be taken.

      1) Hostel fees                      Rs. 6,000/- per year

     2) Caution Deposit             Rs. 2,000/-

     3) Admission fees               Rs.   100/-                              

          Total                                  Rs. 8,100/-             
  • A separate Demand Draft for Rs.8,100/- must be taken.  Hostel admission is subject to availability and preference would be given for outstation students. Students residing within a radius of 75 kms. from SASTRA will not be provided hostel accommodation. 

    Demand Drafts must be in favour of SASTRA payable at Thanjvaur only.

    Documents to be submitted during counseling:

    +2 Mark sheet, TC, Conduct Certificate and Migration Certificate(if applicable).

  • Once the allotment of branch is made, it cannot be changed under any circumstances.
